Job Opportunity: Accounting Coordinator

Position Summary: This person will be responsible for the daily recording of accounting transactions. This person is also responsible for the transmission of accounting transactions to the external accounting company to be performed in an accurate and timely manner.  This position reports to the Finance Manager. 

Job Responsibilities:  

Accounts Payable 

  1. Assign account codes to invoices and receipts 
  2. Upload, in a timely manner, outstanding invoices into the Accounts Payable 
  3. Upload, in a timely manner, specific receipts into Tallie, the credit card management system 
  4. Print checks, obtain signatures, mail payments and file invoices 
  5. Correspond with vendors regarding invoices and payments 

Accounts Receivable 

  1. Prepare deposits and complete deposit reconciliation for each deposit slip 
  2. Assist with the preparation of grant invoices 

Other Responsibilities 

  1. Transmit daily bank transactions to PB Mares Data Coordinator 
  2. Document filing 
  3. Assist with the distribution and maintenance of bus passes and gift cards 
  4. Assist with front desk coverage during lunch periods and Front Desk Coordinator absences 
  5. Assist Finance Manager as needed.  
  6. Support the Executive Director as needed with correspondence and filing. 
  7. Other duties as assigned. 

 Preferred Background 

  • At least 1 to 2 years accounts payable and accounts receivable experience preferred. 
  • Some college degree preferred. 
  • Experience managing multiple projects and activities simultaneously.

  • High level of organization.  
  • Ability to perform multiple tasks and set priorities within time constraints. 
  • Attention to detail and accuracy. 
  • Proven analytic skills. 
  • Ability to work well with outside vendors and other team members. 
  • Ability to communicate well and accurately in written and oral communication. 
  • Proficiency in computers including Windows, Word, Excel, and PowerPoint. 
  • Ability to lift 25 pounds.
